Capsule CRM Integration
Connect Parsley to Capsule CRM. Sync leads, buyer intent, MEDDIC signals, and chatbot conversation notes to your People records automatically.
Connect Parsley to Capsule CRM for automatic lead and conversation sync. Leads land as People, linked to their Organisation, tagged with buyer intent and MEDDIC signals, with the full conversation attached as a Note.
Quick Setup
- Have a Capsule account with API access
- Navigate to Hub > Integrations in Parsley
- Click Connect on the Capsule card
- Authorise Parsley in the Capsule OAuth screen
- Verify the connection shows "Connected" status
That's it. Leads and conversations now sync automatically.
Prerequisites
- A Capsule account - Sign up at capsulecrm.com if you don't have one.
- Enough tag and custom field allowance on your Capsule plan - Parsley uses up to 12 tags and 6 custom fields. Capsule caps both by plan (the Free plan allows 5 custom fields). If your account is at its cap, Parsley provisions what it can and syncs with the rest - contacts, companies and conversation notes are unaffected. See Plan limits.
- A Parsley account - CRM integrations are included on every account; there is no add-on or upgrade. Sync runs off conversations, so you need conversation balance for data to reach your CRM - 10 free at signup, then 25¢ each. View pricing.
- Admin of your Parsley organization - if your Parsley account belongs to an organization, only an org admin can connect or change the CRM connection. The connection is shared by the whole team, so one admin connects it once on everyone's behalf. Solo accounts with no organization are unaffected.
Step 1: Connect to Capsule
From your Parsley dashboard:
- Go to Hub in the left sidebar
- Click Integrations
- Find the Capsule card
- Click Connect to Capsule
- You'll be redirected to Capsule's authorisation screen
- Sign in to your Capsule account if prompted
- Click Authorise to grant Parsley read and write access
You'll be redirected back to Parsley with a "Capsule Connected" confirmation.
On first connect, Parsley provisions its tags and custom fields on your account. This happens automatically and takes a few seconds. If either step partly fails, the connection still succeeds and sync continues with whatever was created - it degrades rather than breaking.
What Syncs to Capsule
Every chatbot conversation that captures a lead syncs to Capsule as a Person (Party). People are matched by exact email address, so existing records are updated rather than duplicated. If the prospect mentions a company, the Person is linked to an existing Organisation, or a new one is created with that name.

Intelligence Tags
Parsley provisions 12 tags on your Capsule Parties. Tags apply automatically based on the chatbot conversation and appear on the Person record for filtering and reporting. Re-syncing an existing Person only adds tags it does not already carry, so tags never accumulate duplicates.

Using tags in Capsule: Filter your People list or Opportunities by any combination of Parsley tags. A saved list filtered by Parsley: Hot Lead + Parsley: Decision Criteria Signal surfaces prospects ready to evaluate. Carry the tags forward when you create an Opportunity.
Custom Fields
Six custom fields are provisioned on your Capsule People:

There is no separate company custom field - Capsule models companies properly, so the prospect's company becomes a linked Organisation on the Person record instead.
When a Person is re-synced, existing field values are replaced rather than appended, so each field holds one current value.
Conversation Notes
Every meaningful chatbot conversation syncs as a Note on the Capsule Person. The Note includes:
- Conversation summary - Key points and topics discussed
- Buyer intent - Hot, Warm, or Cold based on signals
- Qualification - Which MEDDIC signals fired, with supporting quotes
- Engagement metrics - Message count, session duration, return visitor status
- Unanswered questions - Anything the chatbot could not answer from your docs
Reps review it before the first call.
A conversation only syncs if the visitor left an email address and that email matches a Person in Capsule. Conversations from anonymous visitors are not synced.
Sync Controls
Two toggles on the Capsule card control what syncs:
- Auto-sync contacts - new leads create or update People automatically
- Sync conversations - chatbot conversations attach as Notes
Both can be turned off independently without disconnecting.
Verification
After connecting:
- Capture a test lead - Use your own email to fill out the contact form on your Parsley profile
- Check Capsule - Within a few seconds a Person appears with the correct tags and linked Organisation
- Have a chatbot conversation - Ask a few questions on your profile's chatbot
- Check the Person's notes - The conversation Note appears with a summary
Plan limits
Capsule caps how many tags and custom fields an account can have, and the cap depends on your plan - the Free plan allows 5 custom fields. Parsley wants 12 tags and 6 custom fields.
If your account is at its cap, nothing breaks. On connect, Parsley provisions as many as it can. On sync it applies only the tags that exist and writes only the fields that exist, so:
- Contacts, linked Organisations and conversation Notes sync normally
- You get fewer intelligence tags and fewer custom fields
- Nothing fails and no data is lost
Tags are provisioned in priority order, so the most useful ones survive a low cap: the source tag first, then lead quality (Hot/Warm/Cold), then engagement, then the six MEDDIC signals. On a 5-tag account you keep lead source, all three quality tags and Return Visitor.
To get the full intelligence layer, free up tag and custom field slots in Capsule or move to a plan with a higher allowance. You can also delete Capsule custom fields you do not use and reconnect to let Parsley provision the rest.
Troubleshooting
"Capsule denied access" - your Capsule plan may not include API access. Check your plan, then disconnect and reconnect.
"Authentication expired" - disconnect and reconnect Capsule from the integrations card to issue a fresh token.
A Person is not being updated - Parsley matches on the exact email address. If the Person in Capsule has a different address, sync creates a new Person rather than updating the existing one.
Some tags or custom fields are missing - your Capsule account is at its plan cap for tags or custom fields. This is expected and safe; see Plan limits.
